FTL Automation

FTL Automation processes invoices from your email

FTL Automation is Windows desktop software for Australian accounts teams. It connects to your Gmail, Google Workspace, Outlook, or IMAP inbox (with your permission), finds invoice and purchase-order emails with PDF attachments, saves those files on your PC, extracts the key numbers, and exports them to Excel.

About the application

What FTL Automation does

FTL Automation is a desktop application that runs on your Windows PC. Its purpose is to automate accounts-payable filing: locate supplier invoices and purchase orders in email, download the PDF attachments locally, organise them into monthly folders, and write supplier name, invoice number, dates, GST, and totals into an Excel spreadsheet.

When you choose Sign in with Google, FTL Automation requests read-only access to Gmail (gmail.readonly) solely to list messages and download PDF attachments that look like invoices or purchase orders. The app does not send, delete, or modify Gmail messages. Mail content and extracted files stay on your computer — they are not uploaded to FTL’s servers for processing.

You can also connect Microsoft Outlook / Microsoft 365 or another IMAP mailbox. See our Privacy Policy and Terms of Service for full details.

The problem

Manual accounts processing costs time

Every invoice that lands in your inbox turns into five minutes of repetitive, error-prone admin. Multiply that by a hundred suppliers a month.

Manual process

  • Download email attachments one by one
  • Rename files by hand
  • Create folders for every month
  • Enter data into Excel manually
  • Search for missing invoices
  • Repeat the whole thing tomorrow

FTL Automation

  • Detects invoices automatically
  • Saves PDFs to the right place
  • Creates monthly folders on its own
  • Extracts invoice information for you
  • Exports a ready-to-use Excel spreadsheet
  • Runs quietly in the background, every day

Features

Everything accounts payable needs, none of the busywork

Automatic email monitoring

Continuously watches an IMAP inbox for invoices and purchase orders as they arrive — no manual checking required.

Invoice extraction

Purchase order processing

Automatically tells purchase orders apart from invoices and files each one where your team expects to find it.

Monthly folder organisation

Creates a clean folder structure by year and month, so nothing is ever more than two clicks away.

Excel export

Builds a structured, ready-to-reconcile spreadsheet for accounts payable — no copy-pasting required.

Runs automatically

Starts with Windows and keeps working in the background, with almost no day-to-day interaction needed.

Local processing

Documents are read and stored on your own computer. Nothing is uploaded to the cloud.

Fast installation

Simple setup with minimal disruption — most teams are fully running within an afternoon.

See it running

One dashboard for everything the software just did

Check status at a glance, jump into the folder or spreadsheet, and see exactly what happened while you were away.

How it works

From inbox to spreadsheet, six steps, zero clicks

  1. 01

    Email arrives

An invoice or purchase order lands in your inbox, same as always.

  2. 02

    Software detects it

FTL Automation recognises the attachment as an invoice or PO.

  3. 03

    PDF downloaded

The file is saved locally, named consistently, ready to file.

  4. 04

    Data extracted

Supplier, dates, GST and totals are read straight off the document.

  5. 05

    Excel updated

A new row appears in your accounts payable spreadsheet automatically.

  6. 06

    Done — automatically

No folders to create, no files to rename, nothing left to chase.

Why teams switch

Less admin, fewer mistakes, better numbers

Save hours every week

What used to take a full day of admin now runs quietly in the background.

Reduce human error

No more mis-typed totals or invoices filed in the wrong month.

Stay organised

Every document lives exactly where the next person expects to find it.

Increase productivity

Your accounts team spends time on exceptions, not data entry.

FAQ

Questions accounts teams usually ask

After purchase, download FTLAutomation-Setup.exe from the success page and run it on a Windows PC. The installer places FTL Automation in your user profile, creates Start Menu shortcuts, and can open the local dashboard so you can connect Outlook, Gmail, or IMAP. For Enterprise, we can still install and configure it with your team on-site or remotely.
